What is an AI front desk, and is it right for your service business?

An AI front desk is a set of AI agents and workflows that handle the first conversation with a customer: answering the phone or a website enquiry, capturing the right details, and moving the request to its next step. It does not replace your team. It takes the repetitive first contact off their plate so they can focus on the conversations that need a person.

What an AI front desk actually does

Most service businesses receive the same handful of requests over and over: booking or moving an appointment, asking about prices or opening hours, checking on an existing request, or asking whether you offer a particular service. An AI front desk is configured to handle these routine requests using your approved scripts and information.

A typical setup covers several jobs at once:

    • Answering inbound calls and website, email or messaging enquiries
    • Capturing the caller's name, contact details and reason for getting in touch
    • Booking or requesting appointments against your availability rules
    • Answering frequently asked questions from an approved knowledge source
    • Updating your CRM and creating follow-up tasks
    • Handing the conversation to a person, with context, when the request needs human judgement

    What it should not do

A well-designed AI front desk knows its limits. It should not improvise answers about pricing exceptions, legal or medical questions, complaints or anything sensitive. Those conversations follow an escalation rule you approve in advance, so the customer reaches the right person without having to repeat themselves.

This is the difference between automation that protects your reputation and automation that damages it. The goal is not to make the AI sound human at all costs. It is to make sure every enquiry ends in a clear next step.

    Signs your business is ready

An AI front desk tends to make sense when one or more of these is true:

    • Calls or messages arrive outside office hours and wait until the next day
    • Staff spend a large part of the day answering the same questions
    • Enquiries are captured inconsistently, so follow-up depends on who took the call
    • Appointment booking involves back-and-forth that could follow simple rules
    • You want to offer service in more than one language without hiring for each

How to start without disrupting your team

Start with one workflow that has a clear, measurable outcome, such as after-hours call capture or appointment booking. Write down the questions customers ask, the answers you are comfortable automating and the cases that must always go to a person. That document becomes the brief for the AI agent.

At GENIA, a typical rollout takes about two weeks across discovery, design, build and testing. Timing depends on your integrations, approvals and the number of workflows included. We test each scenario with you before anything goes live, then expand once the first workflow is working well.
