CRM follow-up automation: stop leads and customers going cold
By GENIA Corp · · 6 min read
Most businesses do not lose customers because they lack a CRM. They lose them because the follow-up never happens: the quote is sent and nobody checks in, the enquiry is logged but not assigned, or the customer's last conversation is buried in someone's inbox. Follow-up automation closes those gaps.
Where follow-up usually breaks
Follow-up tends to fail at the hand-offs between people and tools:
- Enquiries arrive by phone, email, web form and WhatsApp, but only some reach the CRM
- Nobody is clearly responsible for the next step on each enquiry
- Reminders live in individual calendars or memory
- Records are updated late, so the team works from incomplete information
What to automate first
Start with the steps that are repetitive and rule-based. Good candidates are creating or updating a record whenever an enquiry arrives from an approved source, assigning an owner based on simple rules such as service type or region, and creating a follow-up task with a due date.
Next, automate the reminders: a task due today, a quote with no reply after a set number of days, or a customer who has not been contacted since their last service. These prompts keep the team on track without anyone having to remember.
What to keep personal
Automation should prepare the follow-up, not replace the relationship. Routine confirmations, reminders and status updates can be sent automatically. Conversations about price, problems or a customer's specific needs usually work better coming from a person, ideally with the full history in front of them.
A simple test: if the customer would be unhappy to learn the message was automated, a person should send it.
Measure whether it is working
Track a few simple numbers before and after: how long new enquiries wait for a first response, how many have no owner or next step, and how many quotes receive a follow-up. If those improve, the automation is doing its job.
