Missed calls are lost customers: how to stop enquiries slipping through

By GENIA Corp · · 5 min read

When a potential customer calls and nobody answers, many will not leave a voicemail. They call the next business on the list. For service businesses that depend on phone enquiries, every unanswered call is a booking that may have gone to a competitor.

    Why calls get missed

Missed calls are rarely a sign of a careless team. They usually happen because the people who answer the phone are also doing the work: serving a customer in front of them, on another call, on site, or simply off for the day. Peaks are common too, such as Monday mornings, lunchtimes and the hour after a promotion goes out.

Find out how many you are missing

Before changing anything, look at the data you already have. Most phone systems and mobile carriers can show missed and unanswered calls. Check the times they cluster and how long it takes before someone calls back. Do the same for website forms, WhatsApp and email: how long does a new enquiry wait before a first reply?

This gives you a baseline, so you can tell whether any change actually helps.

Practical fixes, from simplest to most automated

You do not need to automate everything at once. Options include:

    • A clear voicemail greeting that tells callers when they will hear back, plus a set time each day for callbacks
    • An automatic SMS or WhatsApp reply to missed calls, with a booking link
    • Call forwarding rules so overflow calls reach a second person
    • An AI agent that answers when the team cannot, captures the details and books or routes the request
    • Follow-up tasks created in your CRM automatically, so no captured enquiry is forgotten

    Keep the human handover

The aim is to make sure every caller gets a response and a next step, not to keep people away from your team. Any automated answering should have clear rules for when to transfer to a person or arrange a callback, and should pass on what the caller has already said.
